Position Overview:
We are looking for a highly motivated, qualified, and detail-oriented Personal Secretary to work directly with Jagveer Singh, CEO of Athenian Salon and Academy. This role is critical to ensure the smooth operation of day-to-day activities across both the salon and the academy, managing communications, scheduling, and administrative tasks efficiently.
The ideal candidate will have a strong background in executive assistance or secretarial roles, with excellent organizational skills, the ability to handle multiple tasks, and a proactive approach to problem-solving.
Key Responsibilities:
- Executive Support:
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Manage and coordinate daily schedules, meetings, appointments, and travel arrangements for the CEO.
- Organize and maintain an effective system for managing files, documents, and reports related to Athenian Salon and Academy.
- Communication Management:
- Handle all forms of communication including emails, calls, and inquiries on behalf of the CEO.
- Prepare correspondence, reports, and presentations as needed.
- Assist with communication across departments, ensuring that tasks are followed up and completed.
- Coordination and Planning:
- Coordinate events, meetings, and training sessions for Athenian Salon and Academy.
- Assist in overseeing operations at Athenian branches to ensure smooth workflow and timely execution of tasks.
- Collaborate with department heads and other team members to ensure key projects and priorities are moving forward.
- Time Management and Task Prioritization:
- Ensure the CEO’s time is effectively managed by prioritizing tasks and scheduling necessary appointments.
- Follow up on key tasks and deadlines, ensuring nothing falls through the cracks.
- Confidentiality and Discretion:
- Maintain the highest level of confidentiality regarding sensitive company information, client details, and personal matters of the CEO.
- Administrative Support:
- Manage office supplies, records, and other administrative duties as needed.
- Prepare minutes of meetings and ensure timely follow-up on action items.
- Problem Solving and Proactive Assistance:
- Anticipate the needs of the CEO and proactively address them, ensuring that the CEO is equipped to focus on high-level tasks.
- Provide solutions and recommendations to enhance workflow efficiency.
Qualifications and Requirements:
- Bachelor’s degree in business administration, communication, or a related field (preferred but not mandatory).
- Minimum of 3-5 years of experience in an executive or personal assistant role, preferably in a fast-paced corporate environment.
- Exceptional organizational skills and the ability to manage multiple tasks with high attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
- Ability to handle confidential information with discretion and professionalism.
- Strong interpersonal skills with the ability to work with senior management, team members, and external partners.
- Self-motivated with a proactive attitude toward problem-solving and task management.
