We are looking for a smart, efficient, and well-organized Office Secretary who can play a central role in supporting the day-to-day functioning of our developer’s office. This position is ideal for a candidate with real estate industry experience and a deep understanding of Mumbai’s residential and commercial property development processes.
Key Responsibilities
- Manage and coordinate internal and external communications — emails, phone calls, letters, and follow-ups
- Maintain and organize office records, project files, legal documents, and approvals in a systematic manner
- Provide administrative support to management — schedule meetings, prepare agendas, take minutes, and follow up on tasks
- Draft professional letters, agreements, and internal memos related to legal, sales, and project functions
- Track the progress of ongoing files related to RERA, municipal approvals, sales documents, society correspondences, and legal matters
- Coordinate with clients, society members, consultants, vendors, and government authorities as required
- Assist in the preparation and review of real estate project documents, sale agreements, and internal reports
- Handle confidential information and sensitive project data with professionalism and discretion
- Ensure smooth daily office functioning by supporting administrative tasks as needed
- Work closely with legal, sales, and technical teams to maintain consistency and accuracy across communication and documentation
Required Skills & Qualifications
- 2 to 5 years of experience in the real estate sector (mandatory) — preferably in a developer’s office or real estate consultancy
- Strong working knowledge of real estate documentation, project lifecycle, and legal compliance specific to Mumbai residential and commercial properties
- Familiarity with RERA guidelines, municipal permissions, and society redevelopment formalities
- Excellent communication (spoken and written), drafting, and coordination skills
- Proficiency in MS Word, Excel, email management, and file organization systems
- High attention to detail, discretion with sensitive information, and strong follow-through
- Ability to work independently and manage multiple responsibilities with professionalism
- Graduate in Commerce, Administration, Real Estate, or any related field — additional certifications in real estate/legal admin will be a plus
