Role Overview
The Receptionist cum Secretary will serve as the first point of contact for patients, visitors, and associates. The role involves managing front desk operations, patient coordination, appointment scheduling, record maintenance, and secretarial support for the management. The position requires excellent communication, a professional demeanor, and strong organizational skills to ensure a smooth patient experience and efficient clinic operations.
Key Responsibilities
- Greet and assist patients, visitors, and guests with courtesy and professionalism.
- Manage telephone calls, emails, and patient inquiries promptly.
- Schedule, confirm, and update patient appointments and diagnostic test bookings.
- Maintain accurate patient records (both digital and physical).
- Coordinate with doctors, nurses, and diagnostic staff for seamless operations.
- Handle billing, receipts, and front desk cash management.
- Maintain reception area hygiene and a welcoming environment.
- Provide secretarial support to the management: drafting letters, scheduling meetings, preparing reports.
- Ensure patient confidentiality and adherence to clinic policies.
Qualifications & Skills
- Graduate in any discipline (preferably office management or healthcare administration).
- Prior experience in reception/front office management in a clinic, hospital, or diagnostic setup.
- Proficiency in MS Office (Word, Excel, PowerPoint) & clinic management software.
- Excellent communication skills (English & Hindi essential; local language preferred).
- Pleasing personality, strong interpersonal skills, and patient-centric approach.
- Ability to multitask, prioritize, and work under pressure.

- Patient Interaction & Satisfaction
- ≥ 90% positive patient feedback regarding reception experience.
- Average waiting time for patient response at front desk: < 2 minutes.
- Appointment & Scheduling Accuracy
- ≥ 95% error-free booking and scheduling of patients.
- ≥ 90% adherence to appointment timelines and coordination with doctors.
- Front Desk Efficiency
- Calls answered within 3 rings or under 20 seconds.
- Daily reception desk reports and records maintained with 100% accuracy.
- Administrative & Secretarial Support
- ≥ 95% timely completion of assigned documentation, letters, and schedules.
- Zero missed follow-ups for meetings, management tasks, or reporting deadlines.
- Billing & Cash Handling
- 100% accuracy in billing, receipts, and reconciliation.
- Zero financial discrepancies at front desk.

Pay: ₹15,000.00 - ₹20,000.00 per month
