Wood is currently seeking a motivated Proposals Administrator to join our office in Chennai, Tamil Nadu. The successful candidate will work with our Proposals/Technical teams to develop winning proposals.
The Proposals Administrator will interact with proposal coordinators, proposal managers, senior staff, project managers, subcontractors, and other proposal staff to gather, organize and synthesize material necessary for developing proposals, and marketing material as needed.
The Proposals Administrator will:
1. Ensure proposals/bid documents developed comply with mandatory procedures and standards set by the company and respective Business Unit and are in line with proposal best practices.
2. Maintaining the proposals database and document control for all ongoing activities
3. Support the proposals team with the preparation of weekly and monthly reporting
4. Support the process and checklist in all document management and communication
5. On arrival of new enquiries, under the guidance of the Proposals Coordinators, ensure the set up of relevant files and distribute the customer packages to the team, as required. Adherence to procedures and processes is required.
6. Ensuring the preparation and distribution of key proposal documentation to the relevant teams on time
7. Support the proposals coordinators in the development and submission of proposals to the BUs, ensuring all timelines are met
8. Maintain an understanding of current bidding activities to maximize the time allowed for proposal administration for efficiency in the role
9. Liaise with Proposal Managers/Proposal Coordinators to drive contribution of submitted Proposals / Bids / Sales enablement go-by materials to Wood Knowledge
- Skills are typically acquired through completion of a graduate degree in engineering, science, business administration, or related field
- Previous experience in Proposals or related field with strong administration background
- Computer skills and knowledge of Microsoft office tools, Word/Excel/PowerPoint
- Knowledge of advanced template creation and document/data management level (MS Office, Xait, CRM, and Documentum experience an advantage) is preferred but not essential
- Strong administrative and organizational skills is required
- Development of local and remote relationships across wide-ranging time zones
- Excellent communication (written and oral) skills
- Ability to work on multiple tasks simultaneously while maintaining focus
