We are seeking an experienced and detail-oriented Maintenance officer & Admin to lead and manage the daily administrative and facility operations at our corporate office. This role requires strong coordination skills across departments, vendors, and support staff to ensure smooth, safe, and professional office functioning.
Key Responsibilities:
Office Operations & Admin:
- Ensure timely office opening (9:00 AM) and closing (6:30 PM)
- Supervise staff behavior, pantry discipline, cleanliness, and desk setup
- Oversee office assistants, daily task allocation, and decorum enforcement
Staff Attendance & Coordination:
- Monitor biometric attendance and 48-hour weekly compliance
- Support new staff onboarding (ID cards, desks, seating arrangements)
Reception & Visitor Handling:
- Guide VIP guests (MD/CEO-related), provide refreshments, and log visitor details
- Maintain visitor ID policy and ensure no guest waits over 9 minutes
- Supervise reception staff and visitor logbook accuracy
Facility & Infrastructure Oversight:
- Monitor use of lights, AC, IT systems, and maintain energy logs (EB Register)
- Manage movement of office assets via Asset In/Out Register
- Maintain AMC schedules for Lift, ACs, Genset, UPS, CCTV, etc.
Purchase & Vendor Coordination:
- Identify material requirements and source quotations from approved vendors
- Ensure timely approval, PO generation, and service follow-up
Genset & Utility Oversight:
- Maintain diesel logs, AMC service schedule, and conduct monthly genset tests
- Ensure safety compliance with exhaust, batteries, and extinguishers
Stationery & Stock Management:
- Track consumption of stationery and toners; manage reorder cycles and issue logs
Housekeeping & Hygiene:
- Oversee office, restroom, and cafeteria cleaning schedules
- Maintain daily cleaning checklist and conduct surprise inspections
Staff Conduct & Office Discipline:
- Enforce helmet/luggage storage, mobile use policy, and dress code (Mon–Sat)
Corporate Building Oversight:
- Coordinate with tenants, parking management, security, and external cleaning
- Ensure signage and lighting in front office/common areas are in order
Register & Log Maintenance:
- Maintain and regularly update Attendance, Visitor, EB, AMC, Genset, and Asset registers
Qualifications:
- Graduate in Business Administration, Facility Management, or equivalent
- 3 years of experience in administrative and facility management (corporate environment preferred)
- Proficiency in MS Excel, facility coordination, and vendor handling
- Strong leadership, organizational, and communication skills
