*Job Summary:*

We are seeking a professional and friendly Front Desk Executive to manage the front office of our aesthetic clinic. The ideal candidate will be responsible for providing exceptional customer service, ensuring smooth clinic operations, and delivering a welcoming experience for our clients. You will be the first point of contact for clients, answering inquiries, booking appointments, and ensuring a seamless clinic experience.

*Key Responsibilities:*

1. *Client Interaction & Customer Service:*

- Greet clients in a warm and professional manner as they arrive at the clinic.

- Answer incoming calls, emails, and messages, addressing inquiries, providing information about services, and scheduling appointments.

- Ensure clients feel comfortable and informed about clinic services and procedures.

- Handle client concerns or complaints with professionalism and empathy, escalating issues when necessary.

2. *Appointment Scheduling & Coordination:*

- Manage the clinic's appointment calendar, scheduling and confirming appointments accurately.

- Coordinate with practitioners to ensure timely service delivery and avoid scheduling conflicts.

- Send reminders for upcoming appointments via phone, email, or text.

3. *Administrative Support:*

- Maintain client records and files with confidentiality and accuracy.

- Process payments, handle billing inquiries, and manage receipts.

- Assist with inventory tracking and ordering of office and clinic supplies as needed.

- Manage and maintain a tidy and organized front desk area.

4. *Clinic Communication:*

- Communicate important updates, promotions, and information to clients regarding services, offers, and policies.

- Collaborate with clinic staff to ensure smooth day-to-day operations and service excellence.

5. *General Office Duties:*

- Perform general office duties such as filing, photocopying, and preparing documents as needed.

- Ensure the clinic's waiting area is clean, organized, and inviting.

*Skills and Qualifications:*

- *Experience:* Prior experience in a front desk, customer service, or receptionist role (preferably in an aesthetic or healthcare setting).

- *Communication Skills:* Excellent verbal and written communication skills. Ability to interact with clients in a professional, friendly, and engaging manner.

- *Organizational Skills:* Strong multitasking skills with the ability to manage appointments, answer calls, and perform administrative tasks simultaneously.

- *Technical Proficiency:* Basic knowledge of office software (e.g., MS Office Suite) and clinic management software (training can be provided).

- *Attention to Detail:* High level of attention to detail in managing appointments, client records, and administrative tasks.

- *Appearance:* Well-groomed and professional appearance to represent the clinic.

- *Personality:* Friendly, approachable, and patient with a passion for providing excellent customer service.

*Education & Experience:*

- High school diploma or equivalent (required).

- Additional certifications or experience in healthcare, wellness, or beauty services is a plus.

*Working Conditions:*

- Full-time position with shifts during clinic hours.

- Occasional overtime may be required.

- Fast-paced environment with occasional high client volume.
