About Headphone Zone
We don’t run Headphone Zone like a company. We run it like a community — of people who care deeply about helping others rediscover music. We’re proud to be a 100% independent, Indian-owned business, committed to bringing the world’s finest headphones and audio gear to discerning listeners across the country.
We choose to be the best, not the biggest. We serve our customers with the same level of care, respect, and attention we’d want for ourselves — guided by a simple ethos: we’re ladies and gentlemen, serving ladies and gentlemen. And above all, while we are not a music company, music is at the core of everything we do.
About the Role
As Executive Assistant to the CEO, you’ll work closely with the CEO to help manage day-to-day priorities, projects, and communications.
You’ll handle scheduling, information flow, follow-ups, and special projects — acting as a trusted partner and ensuring that the CEO’s time is focused on what matters most. You’ll also help coordinate across teams — making sure ideas turn into action.
Why This Role Matters
At Headphone Zone, we move fast and operate lean — and focus is everything.
You’ll play a key role in keeping the CEO — and by extension, the entire company — organised, focused, and moving forward. You’ll help turn ideas into execution, and ensure nothing important falls through the cracks.
What You’ll Do
As the Executive Assistant to the CEO at Headphone Zone, you’ll be the CEO’s trusted partner — keeping him organised, informed, and focused on high-impact priorities. You’ll play a pivotal role in helping the business move faster and smarter, while embodying our culture of service, excellence, and passion for music.
Here’s what your day-to-day will look like:
- Communication Management: Own and manage the CEO’s communication channels — emails, calls, messages — ensuring timely responses, clear priorities, and seamless information flow.
- Calendar & Scheduling: Take full ownership of the CEO’s calendar — scheduling meetings, appointments, travel, and events — to ensure optimal time management and alignment with business priorities.
- Follow-Up & Execution: Drive effective follow-up on action items, decisions, and key projects. You’ll ensure that tasks move forward and that nothing slips through the cracks.
- Delegation & Team Coordination: Assist the CEO in delegating tasks and coordinating with team members across departments. You’ll help keep the right people aligned and projects on track.
- Research & Insights: Conduct in-depth research on industry trends, competitors, and market insights to support the CEO’s strategic decision-making.
What We’re Looking For
- Freshers are welcome — we love hiring proactive freshers! Or even better, 1–2 years of experience in executive assistance, operations, or project coordination
- Strong organisational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to handle confidential information with discretion
- A mindset aligned with our values: doing the right way, not the easy way; always learning and improving; taking ownership and responsibility; understanding that growth lies in discomfort; serving with grace and respect
- Ability to anticipate needs and act proactively
- Comfortable working in a fast-paced, dynamic environment
- Based in Mumbai — this is a full-time, in-office role at our HQ in Andheri West
Cultural Fit
Headphone Zone is a place for people who want to do great work — the right way, not the easy way. We believe in showing up every day with curiosity, ownership, and a commitment to getting better. Titles and ladders don’t matter here; how you think, learn, and contribute does.
You’ll fit right in if you care about craft, take responsibility for your own growth, and thrive in an environment that’s fast, unstructured, and a little chaotic (in the best way). Most of all, we’re here to help people rediscover music — and everything we do comes from that purpose.
Why Join Us?
At Headphone Zone, you’ll be part of a small, passionate team that takes pride in doing things differently. We believe in craft, community, and curiosity — and we’re here to serve, not to sell. You’ll have the freedom to own your work, learn constantly, and contribute to a team that values quality over scale.
If you believe in treating customers with grace and respect, care about helping people experience music more deeply, and thrive in a culture built on trust and hustle — you’ll love it here.
