About the Role:
We are seeking a dynamic, accomplished, and resourceful Executive Assistant to support the Managing Director (MD) in the seamless execution of daily business operations and strategic initiatives. This role is a blend of operations management, business analysis, and executive support, designed for a proactive professional who thrives in a fast-paced, high-expectation environment.
The ideal candidate will play a pivotal role in ensuring the efficient follow-up and implementation of decisions made during leadership and strategic meetings, managing internal and external coordination, travel management, event organization, and supporting executive communications.
Key Responsibilities:
- Act as a strategic support partner to the Managing Director, ensuring smooth daily operations and execution of key initiatives.
- Must be capable of conducting comprehensive business and sales analysis
- Coordinate and manage leadership and strategic review meetings, including preparing agendas, briefing notes, circulating minutes, and ensuring timely follow-ups on action items with respective stakeholders.
- Proactively manage the MD’s calendar, schedule appointments, meetings, and events, ensuring optimal time management and priority alignment.
- Facilitate extensive domestic and international travel arrangements—including itinerary planning, visa processing, accommodation, transportation, travel insurance, currency management, and approvals.
- Manage email correspondence, prioritize urgent communications, and handle sensitive and confidential information with discretion.
- Build and maintain productive relationships with internal leadership.
- Organize and coordinate high-level events, board meetings, corporate events, and interactions with trustees and senior executives.
- Analyze, prioritize, and follow up on incoming issues and concerns addressed to the MD, determining the appropriate course of action.
- Monitor task deadlines delegated during the review meetings and other strategic meetings by the MD and send timely reminders to direct reports and stakeholders.
- Provide comprehensive and operational support to ensure the MD’s office operates at peak efficiency.
- Support the execution of management projects and initiatives that fall outside the routine operational scope.
Skills & Qualifications:
- Post degree in Business Administration, Management, or a related field.
- 4–5 years of proven experience in operations management or office management roles — preferably in Jewellery and Luxury, consulting, or corporate environments.
- Project management
- Strong organizational and multitasking abilities with keen attention to detail.
- Exceptional interpersonal, communication, and relationship management skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and business travel management tools.
- Ability to handle sensitive information with the highest degree of integrity and confidentiality.
- Highly proactive, resourceful, and capable of working independently with minimal supervision.
