Job Responsibilities :
A Dispatch Officer in the manufacturing industry is responsible for coordinating the timely and efficient dispatch of finished goods to customers or distribution points. They ensure all goods are packed, documented, and transported as per schedule, while maintaining compliance with company policies and logistics requirements.
. Dispatch Planning & Coordination
- Plan and schedule dispatches based on production output and customer delivery schedules.
- Coordinate with the production, stores, and logistics teams for timely dispatch of goods.
- Monitor vehicle availability and route planning to optimize delivery timelines.
2. Documentation & Compliance
- Prepare and verify dispatch-related documents such as:
- Delivery Challan (DC)
- E-way bills
- Invoices
- Packing lists
- Transporter receipts
- Ensure proper documentation as per GST, transport, and compliance norms.
3. Inventory & Packing Oversight
- Ensure finished goods are properly packed and labeled before dispatch.
- Maintain proper FIFO (First-In, First-Out) or LIFO (as per company policy) practices.
- Cross-check finished goods stock before dispatch.
4. Coordination with Transporters
- Communicate with transport companies for vehicle arrangements.
- Negotiate transport costs and confirm dispatch schedules.
- Track vehicle movements and ensure timely delivery.
5. Record-Keeping & Reporting
- Maintain records of dispatched materials, vehicle details, and customer acknowledgments.
- Report daily dispatch status to the plant head or logistics manager.
- Monitor and report delivery performance and delays.
6. Customer & Internal Communication
- Update customers on dispatch status and expected delivery timelines.
- Handle customer queries or complaints related to dispatch or delivery.
- Coordinate internally for urgent or priority dispatches.
7. Safety & Compliance
- Ensure all dispatch operations follow safety and company SOPs.
- Verify transporter vehicle compliance (e.g., valid registration, insurance, permits).
- Ensure zero damage during loading/unloading and transit.
