Job Summary: We are seeking a highly capable and polished Female Executive Assistant to support our Chairman & CEO in both strategic and day-to-day responsibilities. This role requires 360° business acumen, exceptional communication skills, and the ability to manage high-level tasks in a fast-paced environment. The ideal candidate will be resourceful, discreet, detail-oriented, and able to represent the CEO’s office with professionalism and confidence.
Key Responsibilities:
Executive Support
- Manage his calendar, scheduling high-level meetings, board discussions, and internal briefings.
- Screen and prioritize emails, calls, and meeting requests; act as the first point of contact when needed.
- Prepare reports, business presentations, briefs, and confidential correspondence.
- Coordinate travel itineraries, hotel arrangements, and logistical planning for both business and personal engagements.
- Preparing & Organizing Birthday & Anniversary Calendars for all relations.
- Creating Events/Festival Flyers and maintaining the Social Media & Professional Platforms like LinkedIn for Individuals Brand Creation. Maintaining & Organizing expenses/bills.
Business Coordination & Strategy
- Assist with reviewing contracts, proposals, business decks, and strategic documents.
- Liaise with department heads to monitor progress on key initiatives and provide the CEO with regular updates.
- Help synthesize and analyze data and business performance reports for decision-making.
- Manage follow-ups and accountability tracking across departments on behalf of the CEO.
Internal & External Liaison
- Act as a communication bridge between the CEO and internal/external stakeholders.
- Attend select meetings, take detailed notes, and follow up on action items.
- Coordinate with vendors, partners, consultants, and clients when required.
Confidentiality & Professionalism
- Handle sensitive and high-level information with absolute discretion.
- Maintain a professional image of the CEO’s office at all times—internally and externally.
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or related field. MBA or equivalent is an asset.
- 3–5 years of experience in a senior executive support or business coordination role.
- Strong understanding of business functions—sales, operations, finance, marketing, etc.
- High proficiency in MS Office Suite, Google Workspace, and communication tools like Zoom, Teams, or Slack.
- Excellent verbal and written communication skills.
- Fluent in English; knowledge of additional languages (e.g., French, Hindi, Punjabi) is a plus.
