Job Summary:
To manage and coordinate the end-to-end tendering process for facility management contracts, including preparation, submission, and post-tender follow-ups, ensuring compliance with client requirements and organizational goals.
Key Responsibilities:
- Tender Management:
- Identify relevant tender opportunities through various portals, websites, and contacts.
- Study and analyze tender documents including scope, BOQ, technical and commercial terms.
- Coordinate with operations, procurement, legal, and finance teams to gather required inputs.
- Tender Preparation:
- Prepare pre-qualification documents, technical and commercial proposals.
- Compile company credentials, compliance documents, and certificates as required.
- Draft and format tender responses ensuring accuracy, consistency, and compliance.
- Bid Submission:
- Ensure timely submission of tenders—both online and offline.
- Maintain records of all tenders submitted and track their status.
- Post-Tender Activities:
- Follow up on submitted tenders for clarification, negotiation, and award status.
- Assist in preparing presentations or documentation for post-bid meetings and negotiations.
- Documentation and Reporting:
- Maintain a repository of standard tender documents and responses.
- Prepare periodic reports on tender success rate, pricing trends, and competitor benchmarking.
- Compliance:
- Ensure all tenders are submitted in compliance with statutory and organizational guidelines.
- Coordinate with legal/compliance teams to mitigate risks and adhere to contractual obligations.
Key Skills & Competencies:
- Strong understanding of facility management services (soft and hard services).
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Strong time management and organizational skills.
- Proficiency in MS Office (Excel, Word, PowerPoint).
- Experience with government and private sector tenders.
Qualifications & Experience:
- Graduate or Diploma in Business Administration, Engineering, or related field.
- 2–5 years of experience in tendering within the facility management or related industry.
- Familiarity with e-tendering portals and procurement platforms.
Job Types: Full-time, Permanent
Pay: ₹22,000.00 - ₹35,000.00 per month
