Job Description: Pharmacy Executive Assistant Job Title: Pharmacy Executive Assistant Location: Raman Memorial Hospital, Krishnamurthy Puram, Mysore, Karnataka Reports to: Head of Pharmacy Department Position Summary The Pharmacy Executive Assistant is responsible for providing high-level administrative support to the pharmacy management team. This role requires excellent organizational skills, attention to detail, and the ability to handle confidential information with discretion. You will be instrumental in managing day-to-day operations, coordinating with other hospital departments, and ensuring the pharmacy's administrative functions are efficient and compliant with all regulations. Key Responsibilities * Administrative Support: Manage schedules, coordinate meetings, prepare reports, presentations, and other documents for the pharmacy management. * Communication: Serve as a primary point of contact for internal and external inquiries, handling phone calls, emails, and correspondence professionally. * Inventory and Supply Chain: Assist with inventory management, including monitoring stock levels, placing orders for medications and supplies, and ensuring accurate record-keeping. * Compliance and Documentation: Help maintain patient records, manage prescription data, and ensure all pharmacy operations adhere to hospital policies and regulatory standards. * Billing and Finance: Support billing processes, handle cash transactions, and assist with preparing expense reports and financial documents. * Team Coordination: Facilitate communication between pharmacists, pharmacy technicians, and other hospital staff to ensure seamless workflow. Required Qualifications & Skills * Education: A high school diploma or equivalent is required. A degree or diploma in pharmacy, healthcare administration, or a related field is a plus. * Experience: Proven experience in an administrative or executive assistant role, preferably within a healthcare or pharmaceutical setting. * Technical Proficiency: Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with pharmacy management software. * Interpersonal Skills: Excellent communication, customer service, and interpersonal skills. The ability to work well in a fast-paced, team-oriented environment is essential. * Personal Attributes: Highly organized, detail-oriented, trustworthy, and capable of maintaining confidentiality.
