Job Summary:
The Personal Secretary to the MD will be responsible for providing high-level administrative and secretarial support, ensuring the smooth functioning of the MD’s office. The role requires excellent organizational skills, discretion, and the ability to manage multiple priorities while maintaining confidentiality.
Key Responsibilities:
- Administrative Support
- Manage the MD’s calendar, schedule appointments, and coordinate meetings.
- Prepare and organize documents, reports, and presentations.
- Draft, review, and manage correspondence on behalf of the MD.
- Communication Management
- Act as the first point of contact for all incoming communications to the MD.
- Screen phone calls, emails, and inquiries, and respond where appropriate.
- Liaise with internal departments and external stakeholders.
- Meeting Coordination
- Organize board meetings, management meetings, and business reviews.
- Prepare agendas, take minutes, and follow up on action items.
- Travel & Event Arrangements
- Plan and arrange domestic and international travel, including visas, itineraries, and accommodations.
- Organize events, conferences, and client meetings as required.
- Confidential Document Handling
- Maintain confidentiality of sensitive information and documents.
- Ensure proper filing, both physical and digital, for all MD-related records.
- Task & Project Follow-up
- Track deadlines and ensure timely completion of assigned projects.
- Follow up with departments on pending matters as instructed by the MD.
- Personal Assistance
- Handle certain personal tasks for the MD as required.
- Support MD in daily routines to enhance productivity.
Skills & Qualifications:
- Bachelor’s degree in Business Administration, Management, or related field (preferred).
- Proven experience as a Personal Secretary, Executive Assistant, or similar role.
- Excellent verbal and written communication skills.
- Strong organizational and time management skills.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Ability to multitask, prioritize, and work under pressure.
- High level of discretion and professionalism.
Work Environment & Schedule:
- Office-based role with standard working hours.
- May require occasional overtime or weekend availability depending on MD’s schedule.
Job Type: Full-time
Pay: ₹20,000.00 - ₹25,000.00 per month
