.Position Summary
The Document Controller is responsible for managing, organizing, and maintaining all project and company documentation in an accurate, efficient, and secure manner. This role ensures proper document control processes are followed to support project teams, management, and compliance requirements.
Key Responsibilities
- Establish and maintain document control systems, procedures, and databases.
- Receive, record, and distribute incoming and outgoing documents, drawings, and correspondence.
- Ensure documents are filed, archived, and retrieved in line with company and project requirements.
- Review documents for completeness, accuracy, and compliance with standards before distribution.
- Maintain document registers and logs for tracking revisions, approvals, and version control.
- Coordinate with project managers, engineers, contractors, and consultants to ensure timely submission and approval of documents.
- Control access to confidential or sensitive documents, ensuring data security.
- Support project audits by providing necessary documentation and records.
- Generate periodic reports on document status, pending approvals, and distribution.
- Provide training and support to team members on document management procedures
Skills & Competencies
- Strong knowledge of document control processes and standards.
- Proficiency in document management software (e.g., Aconex, EDMS, SharePoint, Primavera, etc.).
- Excellent organizational and filing skills (both electronic and hard copy).
- Attention to detail and accuracy in handling documents.
- Strong communication and coordination abilities.
- Ability to handle sensitive and confidential information.
Qualifications
- Bachelor’s degree/diploma in Business Administration, Engineering, Information Management, or related field.
- 2–5 years of experience in document control (construction, engineering, or corporate environment preferred).
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Experience with ISO standards and quality management systems is an added advantage.
