Position Title: Civil Project Admin / Coordinator
Location: Remote (Permanent Work from Home – India-based)
Work Hours: 5:30 PM IST to 3:30 AM IST (Aligned with U.S. business hours)
Employment Type: Full-Time
Experience: 1–3 Years (Freshers with strong aptitude may also be considered from Tier 1 & 2 Institutes also candidates with Exceptional Academic Percentile 9 & Above)
Travel: May be required occasionally based on business needs
Role Summary:
We are looking for a highly motivated and detail-oriented Civil Project Admin / Coordinator to support and coordinate real estate and civil construction operations for our U.S.-based projects. This is a permanent remote role, ideal for individuals with excellent organizational, technical, and communication skills who can multitask and work independently in a fast-paced environment.
Key Roles and Responsibilities
Project Coordination & Documentation:
- Coordinate project activities across internal and external stakeholders
- Maintain and organize project documentation, including contracts, permits, drawings, RFIs, RFQs, and change orders
- Track and update project schedules, milestones, budgets, and deliverables
- Assist in the preparation of project execution plans, Gantt charts, and resource trackers
- Manage project folders and version control for drawings and documents
Communication & Reporting:
- Act as a key point of communication between the India team and U.S.-based teams
- Prepare and distribute project reports, updates, dashboards, and presentations using Excel and PowerPoint
- Schedule and coordinate project meetings, prepare minutes, and follow up on action items
- Regularly communicate with consultants, vendors, and internal departments to ensure project progress
- Escalate project risks, delays, or critical issues proactively
Technical Support & Drawing Review:
- Review and interpret basic civil and architectural drawings using AutoCAD
- Coordinate drawing submittals, approvals, markups, and redlines
- Assist with basic quantity take-offs and verification of BOQs
- Support compliance tracking for permits, inspections, and zoning approvals
Administrative & Operational Support:
- Maintain cloud-based project documentation systems (Google Drive, SharePoint, etc.)
- Assist in vendor onboarding and coordination, including document collection and payment tracking
- Help with procurement tasks: price comparisons, material tracking, delivery follow-ups
- Support internal project and finance teams with timesheets, billing records, and contract logs
- Coordinate occasional travel arrangements for site visits if required
Required Skills & Qualifications:
- Bachelor’s degree in Civil Engineering, Construction Management, or a related field
- 1–3 years of relevant experience preferred; smart and driven freshers will also be considered
- Proficient in Microsoft Excel and PowerPoint
- Basic knowledge of AutoCAD and civil/construction project workflows
- Excellent written and verbal communication skills
- Strong organizational skills with high attention to detail
- Ability to work independently and manage priorities effectively
- Comfortable working in U.S. business hours from a remote setup
