Responsibilities
Calendar Management and Meeting Logistics
Provide calendar and time planning support for senior leaders, including Directors and General Managers.
Manage community space and conference room calendars.
Coordinate meeting logistics, including room bookings and AV troubleshooting.
Align scheduling with business priorities and leader preferences.
Cross-Functional Collaboration and Communication
Build strong relationships across HR, Finance, business-support professionals, event planners, and peers.
Communicate effectively with internal and external stakeholders to support team and leadership goals.
Discipline Growth and Development
Actively engage in the Business Support community.
Mentor junior Business Support colleagues and assist with onboarding and training.
Share best practices and insights to foster organizational learning and culture.
Event Coordination and Logistics
Plan, promote, and support team and business events.
Create and manage event itineraries, act as point of contact, and handle post-event follow-ups.
Resource and Financial Management
Oversee equipment and inventory planning, tracking, and adjustments based on business needs.
Process expense reports in compliance with Microsoft policy.
Manage discretionary budgets and vendor/supplier relationships, including PO creation.
Project Ownership
Execute and own project deliverables with minimal supervision.
Identify risks, streamline processes, and suggest improvements.
Ensure accountability and communication across stakeholders.
Rhythm of Business (ROB)
Understand and support the team’s ROB cadence.
Recognize business patterns and interdependencies to optimize scheduling and operations.
Space Management and Planning
Maintain accurate space-management processes and databases.
Support large-scale space requests and collaborate with space planners and admins.
Recommend space assignment changes based on utilization data.
Team Management Support
Support recruitment efforts in collaboration with Global Talent Acquisition (GTA).
Coordinate onboarding/offboarding logistics for employees, vendors, and interns.
Manage headcount activities and maintain relevant tracking tools.
Travel Management
Arrange domestic and international travel using Microsoft tools.
Create itineraries, ensure compliance with travel policies, and manage required documentation.

Qualifications
Qualifications: Required/minimum qualifications
2+ years Administrative, Business Support, and/or customer service experience.
Additional or preferred qualifications
3+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
Associate's/Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
1+ year(s) experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
