Job Description
We are looking for a proactive and organized Executive – Operations to provide dedicated support to the Chief Operating Officer (COO). The role involves coordinating daily operations, managing schedules, preparing reports, and ensuring smooth communication across departments. The candidate will act as the primary point of contact for the COO’s office, handling administrative and operational tasks efficiently.
Key Responsibilities
- Act as secretary to the COO by managing calendar, meetings, appointments, and travel plans.
- Coordinate with different departments to ensure timely reporting and smooth flow of information.
- Draft and prepare official correspondence, presentations, and reports for the COO.
- Assist the COO in monitoring hospital operations and project follow-ups.
- Prepare minutes of meetings and ensure follow-up on action points.
- Maintain confidentiality of sensitive information and support decision-making processes.
- Handle calls, emails, and communication on behalf of the COO.
- Track departmental performance, collect MIS reports, and present consolidated data to COO.
- Support COO in special assignments, audits, and compliance-related activities.
- Serve as liaison between COO and internal/external stakeholders.
- Willing to travel along with COO sir and stay till he is in hospital.
Qualifications & Skills
- Graduate / Postgraduate (preferably in Management, Administration, or Healthcare).
- 2–5 years of experience in operations, executive assistant, or coordination role (hospital/healthcare background preferred).
- Excellent communication and drafting skills (English & Tamil).
- Strong organizational and multitasking abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint) and report preparation.
- Professional attitude with ability to work under pressure.
- High level of integrity and confidentiality.
