Key Responsibilities
Event Planning & Coordination
- Plan, organize, and execute events (corporate, social, private, or promotional) from concept to completion.
- Source and liaise with venues, vendors, suppliers, and contractors.
- Manage event logistics including catering, AV, décor, transport, and accommodation.
- Create event proposals, timelines, budgets, and post-event reports.
- Ensure smooth on-site execution and troubleshoot issues during events.
Administration & Office Support
- Manage daily administrative tasks, including filing, scheduling, correspondence, and office organization.
- Prepare professional business documents, presentations, and proposals.
- Maintain databases and update records of clients, vendors, and partners.
- Organize and maintain contracts, agreements, and internal documentation.
Sales & Client Management
- Respond promptly to client inquiries via email, phone, and in-person meetings.
- Prepare and send proposals, quotations, and follow-up communications.
- Chase potential and existing clients to secure bookings and confirm arrangements.
- Build and maintain strong client relationships to encourage repeat business.
- Support sales activities by identifying new opportunities and upselling services.
Financial Administration
- Prepare and issue invoices, track payments, and follow up on outstanding accounts.
- Assist with budget preparation and expense monitoring for each event.
- Maintain accurate financial records for reporting and auditing purposes.

- Proven experience in event planning, administration, or sales support.
- Strong organizational and multitasking abilities with excellent attention to detail.
- Exceptional written and verbal communication skills.
- Proficiency in Microsoft Office Suite, Google Workspace, and CRM tools.
- Knowledge of budgeting, invoicing, and financial tracking.
- Ability to work independently and as part of a team in a fast-paced environment.
- Flexible with working hours, including evenings and weekends during events.
