Job Title: Clinical Operations Assistant

Note: We are looking for experienced Clinical Operations Assistants with prior experience working for UK companies and handling UK clients.
Job Purpose:
The Clinical Operations Assistant will support the Bio-Sample and Logistics team with a range of administrative and operational tasks across various workstreams. The role plays a crucial part in the set-up and delivery of large-scale health research operations, ensuring the efficient collection, management, and reconciliation of biological samples and related data. This role is integral to delivering a world-class health research initiative focused on early detection and prevention of common diseases in the UK.
Key Responsibilities:
- Collaborate with colleagues across recruitment, logistics, and biosample teams.
- Perform routine administrative tasks on a daily and weekly basis.
- Place clinic consumable orders and track deliveries to ensure timely availability.
- Prepare reports, presentations, and other documentation as required.
- Independently manage workload and prioritise tasks to meet tight deadlines.
- Monitor shared inboxes, escalating issues when necessary.
- Write, format, and maintain operational documents.
- Take ownership of tasks and proactively contribute to team goals.
- Support logistics and sample reconciliation processes.
- Respond to participant and clinic partner queries via ticketing systems such as FreshService.
- Process participant withdrawal requests, including biological sample disposals.
- Monitor and manage incidents such as mislabelled samples.
- Assist with planning and execution of new operational projects.
- Organise meetings and record minutes accurately.
- Provide operational cover during periods of leave or sickness within the team.
- Contribute to the development of SOPs and internal policies.
Requirements:
- Proven experience in an administrative or operations support role.
- Familiarity with the UK clinical research or healthcare environment.
- Ability to quickly learn and adapt to new systems and processes.
- Proficiency in MS Office tools (Excel, Word, Outlook, PowerPoint).
- Strong organisational and time management skills.
- Excellent interpersonal skills and ability to work with diverse teams.
- Strong verbal and written communication.
- Self-motivated, proactive, and able to work independently.
- Willingness to support lab and clinic visits, if required.
- An understanding of population research and cohort studies is a plus.
- Knowledge of Good Clinical Practice (GCP) or similar regulatory frameworks is advantageous.
