Job Description:
We are looking for a detail-oriented and proactive Back Office Executive with 2-3 years of experience to join our team. The ideal candidate will be responsible for managing day-to-day administrative and operational tasks, ensuring smooth communication between clients, dealers, and internal teams, and supporting overall business processes efficiently.
Key Responsibilities:
- Handle client and dealer communication via email, phone calls, and other digital platforms with professional and fluent English.
- Prepare and send quotations to clients and dealers accurately and promptly.
- Manage order processing including order entry, tracking, and follow-up until delivery.
- Coordinate with finance team to ensure timely payments and maintain accurate payment records.
- Maintain and update databases, records, and reports using MS Office tools (Excel, Word, Outlook, PowerPoint).
- Monitor and follow up on pending tasks, customer queries, and payment reminders to ensure timely closure.
- Assist in resolving client and dealer issues by liaising with relevant departments.
- Prepare daily/weekly/monthly reports on order status, payments, and client communication.
- Support the sales and procurement teams by providing administrative assistance.
- Maintain confidentiality of sensitive information and ensure compliance with company policies.
- Continuously improve internal processes to enhance efficiency and customer satisfaction.
- Assist in organizing meetings, preparing presentations, and other administrative duties as needed.
Required Skills and Qualifications:
- 2-3 years of proven experience in a back office or administrative role.
- Excellent communication skills in fluent English, both written and verbal.
- Proficient in MS Office (Excel, Word, Outlook, PowerPoint).
- Strong organizational skills with keen attention to detail.
- Ability to handle multiple tasks simultaneously and work under pressure.
- Customer-focused attitude with good interpersonal skills.
- Basic knowledge of order management, invoicing, and payment tracking.
- Problem-solving ability and proactive approach to work.
- Team player with a positive attitude and willingness to learn.
