Job Overview:
We are seeking a dedicated and detail-oriented Back Office Assistant (Female) to join our team in the health sector. The ideal candidate will be responsible for maintaining books, managing filing systems, handling documentation, and supporting the overall smooth operation of the office. This role is crucial in ensuring that all administrative tasks are completed efficiently and accurately.
Key Responsibilities:
- Manage calendars, schedule meetings, and coordinate appointments.
- Maintain and organize financial records, including bookkeeping and data entry.
- Manage and update filing systems, ensuring all documents are properly sorted.
- Assist in preparing reports, documents and presentations for internal and external use.
- Ensure compliance with company policies and industry regulations regarding document management.
- Handle phone calls, manage incoming and outgoing communication.
- Greet and screen visitors, ensuring they are directed to the appropriate location or personnel while maintaining security
- Handle day-to-day administrative tasks to support the office’s operations.
- Collaborate with other departments to provide necessary support.
Requirements:
- Female candidate preferred.
- Proven experience as a back office assistant or in a similar administrative role.
- Strong attention to detail and organizational skills.
- Proficiency in MS Office (Word, Excel) and other office software.
- Ability to multitask and handle confidential information.
- Good communication skills.
- Experience in the health sector will be an advantage.
