A Front Office Receptionist is the first point of contact for visitors and clients, responsible for greeting, directing, and managing communications, while also handling administrative tasks like scheduling, phone calls, and mails.
Core Responsibilities:
- Greeting and Directing Visitors: Warmly welcome guests, provide information, and direct them to the appropriate person or department.
- Managing Communications: Answer and screen phone calls, take messages, and forward calls as needed.
- Administrative Tasks:
- Maintain calendars and schedule appointments.
- Sort, distribute, and manage incoming and outgoing mail.
- Prepare and distribute documents, including reports and presentations.
- Make copies and faxes as needed.
- Maintain a clean and organized reception area.
- Customer Service: Address inquiries, resolve issues, and ensure a positive experience for visitors.
- Security: Maintain security protocols, such as visitor access control.
- Data Entry: Enter and update information into relevant databases.
- Other Duties: May include ordering supplies, assisting with travel arrangements, or other tasks as needed.
