We are seeking a dedicated and detail-oriented Fee Collection Officer to oversee and streamline the school’s fee management system. The ideal candidate will have a strong background in financial operations, exceptional communication skills, and experience in handling fee collections and stakeholder coordination within an educational setting.
Key Responsibilities:1. Strategic Planning & Policy Development
- Collaborate with school leadership to design an effective and transparent fee structure.
- Develop and enforce policies on fee collection, late payments, and penalties.
2. Operational Management
- Manage the entire fee collection cycle, ensuring accuracy and timely processing.
- Oversee billing, invoicing, and multiple payment processing methods (cash, online, cheque, etc.).
3. Record Keeping & Financial Reporting
- Maintain up-to-date records of collections, outstanding dues, and payment histories.
- Generate regular financial reports and support audit readiness.
4. Parent Communication & Support
- Act as the primary contact for parent queries, fee-related disputes, and concerns.
- Provide excellent customer support and ensure clarity on payment schedules.
5. Compliance & Risk Management
- Ensure adherence to financial regulations and internal fee collection policies.
- Identify risks in the collection process and implement preventive measures.
6. Team Leadership
- Lead the fee collection team, handling training, delegation, and performance reviews.
- Ensure the team is well-versed in procedures and equipped to manage parent interactions.
7. Technology & Systems Management
- Implement and manage fee management systems/software.
- Ensure the security and confidentiality of all financial data.
8. Collection Strategy & Follow-up
- Develop strategies to improve collection efficiency and reduce outstanding dues.
- Follow up with defaulters and manage customized payment plans as needed.
9. Continuous Improvement
- Regularly assess and enhance the efficiency of the fee collection process.
- Gather feedback from staff and parents to drive process enhancements.
10. Stakeholder Coordination
- Coordinate with school leadership, the finance department, and external partners (banks/payment gateways) for smooth operations.
Qualifications & Skills:
- Bachelor’s degree in Finance, Accounting, Business Administration, or related field.
- Prior experience in fee collection preferably in the education sector.
- Excellent communication, team leadership, and customer service skills.
- Tech-savvy with experience in fee management software.
