About the Role
We are seeking a highly organized, proactive, and discreet Executive Assistant (EA) to support the [CEO/Executive Title] in a fast-paced, high-growth environment. The ideal candidate is a master of time management, a strategic thinker, and a trusted partner who can manage both professional and some personal priorities with the utmost confidentiality and efficiency.
Key Responsibilities
- Calendar & Schedule Management
- Coordinate and optimize daily, weekly, and long-term calendars
- Schedule meetings, calls, travel, and events, anticipating conflicts and proactively resolving issues
- Communication & Correspondence
- Manage email inboxes, draft communications, and respond on behalf of the executive when appropriate
- Serve as a gatekeeper and liaison between the executive and internal/external stakeholders
- Travel Coordination
- Organize domestic and international travel, including flights, accommodations, itineraries, and expense reporting
- Meeting Support
- Prepare briefing materials, agendas, and notes for key meetings
- Track and follow up on action items and decisions
- Project & Task Management
- Lead or support special projects, both business-related and personal
- Coordinate with internal teams and external vendors as needed
- Confidentiality & Discretion
- Handle sensitive information with the highest degree of integrity and confidentiality
Requirements
- 1 to 5 year experience
- Exceptional written and verbal communication skills
- Strong organizational skills with high attention to detail
- Proven ability to manage complex calendars and competing priorities
- High level of professionalism and discretion
- Proficiency with tools such as Google Workspace, Microsoft Office, Slack, Zoom, and project management platforms (e.g., Asana, Notion)
- Ability to anticipate needs and act with minimal guidance
Preferred Qualifications
- Experience manufacturing
- Bachelor's degree or equivalent work experience
- Familiarity with time zone management and global coordination
- Background in event planning, project management, or operations is a plus
